It grates when people write poorly, huh. When writers write well, the words almost become invisible. The focus shifts away from technical details, and onto the message.
Is there an easy way to write better blog posts? E-mails? Web copy?
Let’s take a look at three guidelines for web writing.
1. If You Can Say It, You Can Write It
The Dilbert Mission Statement Generator – sadly now offline – comes up with convoluted gems this:
"Our challenge is to assertively network economically sound methods of empowerment so that we may continually negotiate performance based infrastructures"
Satire, one would hope.
However, the US Air Force uses the following mission statement:
"The mission of the United States Air Force is to deliver sovereign options for the defense of the United States of America and its global interests – to fly and fight in Air, Space, and Cyberspace"
"Deliver sovereign options"?
Who talks like this? Well, apart from the US military.
Nobody.
Good web writing is the same as good spoken language. Use short sentences, short words, simple structures and a natural, predictable flow of ideas. Avoid waffle, hyperbole and words that hide meaning. Whenever you finish a piece of writing, read it aloud. Cut or rephrase phrases that sound clunky, because they’ll read clunky, too.
Your writing will sound warm and human.
The human voice is especially important online. Communicating at a distance, particularly two-way communication, is relatively new to humans. To help people connect with one another more easily, it pays to write in a warm, conversational style that mimics personal conversation when conducted in close, physical proximity.
When you think about how you would say something, especially to a specific person, you choose words, expressions and structures based on that personal context. Try to imagine that person in front of you as your write.
This approach works well for all applications – from formal legal sites, to personal sites.
2. Planning
Planning what you’re going to say helps you to complete any writing task more quickly and easily.
1. Identify and list your goals. What is the message? What is the desired action you want your reader to take? What is the key thought you want your reader to take away?
For example, a goal list might look like this:
*inform people the last project went well, even though there were problems
*highlight the good aspects about the project
*highlight the problems
*present ideas on how these problems can be overcome in the next project
*get everyone revved up and excited about the next project
2. Think about the audience. Who is your audience? What do you know about the person or group?
3. Determine the right tone and format based on answers 1& 2
4. Write quickly. Don’t edit, even if your writing is a mess. Separate out your writing and editing functions.
5. Draw a solid conclusion. Calls to action work well.
6. Read aloud what you’ve written. Cut, fix and tighten. Writing comes alive in the rewrite.
Solid blog posts sound spontaneous, but they’re not. They’re often structured, worked and reworked.
3. Hyperbole Doesn’t Work On The Web
Hyperbole means extreme exaggeration. i.e. "All the perfumes of Arabia could not sweeten this little hand". Web readers tend to gloss over the flowery and the convoluted.
On the web, people scan, so the shape of your writing – how it appears on the page – can be just as important as what you say. So think about the shape and form of your writing. Can you use bullets, headings and images to break up large blocks of text? Sometimes, the best thing to do is not write at all. Can an image convey your message? If so, use it.
Also consider context. When visitors arrive on a page, a page deep within your site, do they know what your site is about from glancing at that one page? If not, consider using chunks of content to provide context. These chunks of information can be repeated on every page of your site, and should be self explanatory. Think directory entry. Your repeat visitors will become blind to it, but your first time readers will appreciate it.

Organic SEO is a term used for natural content that lends itself to ranking well in search listings under a specific subject matter or topic. No tricks, keyword stuffing, or other techniques that are considered unnatural. The idea is that if you provide useful content that is of value to the visitor, the search engines will not only give you good rankings now but in the future too.
People spend a lot of time trying to figure out the latest and greatest trick or method to achieve good search engines rankings. There are some important basics to adhere to but in the long run, it’s pretty simple to get good rankings. Provide unique content of value in the given subject area.
Organic or natural search engine optimization is following the guidelines of the major search engines and providing useful information. So how can you do that when there are already 5 or 6 million other resources that do the same thing?
One way is to do it better, provide a unique twist, and the detail necessary to separate you from the crowd. Some of the one-word popular search terms get up to 2 billion results displayed on a typical search. That’s right my friend, you may have billions of competitors for a popular search term.
Dig down a little deeper, just like most searchers will do eventually, and the competition will thin out. Get down to a very specific aspect of the search query, and two things happen. First, you are in a less competitive area and second, you are better targeting your potential visitor.
You don’t want just any visitor, you want someone is has an interest in your particular area of the base search term or subject. It doesn’t matter if you are trying to sell something, provide information, or promote your opinion to influence others. You should always drill down and be specific in your content to reach your intended audience.
Another important part of Organic SEO is following the known guidelines of the search engines. Naming conventions (page, title, even domain) have an impact on rankings. Creating well-designed layouts for both the reader and the search engine bots (bots are software programs that go out and visit the websites) helps too.
Areas on each web page such as navigation menus and internal links need to be in proper format and easy to find. Descriptive phrases or information about the link should be clear and concise. Providing complementary or associated information gives your reader more options to spend more time on your website.
It’s easy to get lost in the weeds when working with search engine optimization. There are few rules, but many guidelines. Too many times people look for an absolute, when there are none to be found. And always remember that the search engines constantly re-evaluate their ranking methods to both eliminate the cheaters and improve the quality of results.
While I can’t use a picture in this article, I can give you an example that may be helpful in better understanding organic SEO. For our example lets use gardening as the subject matter. In our example the website will sell items that gardeners might be interested in buying. There are lots of subcategories in gardening to choose from, so lets go with house plants. And maybe drill down a little further in this area to succulents (plants that thrive with very little water).
Providing information on any and every aspect of our subject of succulents will provide a lot of content to attract the visitors interested in that type of information. You could have sections on growing, identifying, indigenous, and flowering for starters. Each page would have very specific information on each area, presented in a unique method around house plant applications.
The layout and design should have the page names, titles, and links that use descriptive terms to identify the subject matter. Unique content could be personal experience, recommendations in specific placements, etc. Each web page could display items for sale that apply to that subject matter. Or you could also display affiliate links to other websites that pay you a commission on sales.
So you can see from this example that the information provided is the key to attracting visitors with an interest in the subject matter. Search engines will see that too, and serve up your web page when someone searches for your topics. The goal of the search engines it to provide the best possible results to the query. If your information provides that information, you get listed.

Project 5 review: Monitor where your site is ranked in the SE’s
This project is a neat one in that it allows you to see where your site ranks for as many different keyword phrases as you want. SEO Elite also gives you a very nice little graph that visually shows rises and drops in ranking.
Project 6 review: Find out how many pages are indexed
You can input either your website or a competitor’s website and see how many of the website’s pages have been indexed by all of the major search engines. You can also see which pages, and the PR and Alexa rank of those pages.
Project 7 review: Find possible authority websites
I personally like this project type the most. You can input a keyword and SEO Elite will compare all of the top ranked website’s links and will tell you which are “common links” between all of the websites. Those common links are potential authority websites and ones that you should approach for a link exchange of some sort. A link from those sites will help your ranking the most.
Project 8 review: Submit your article to article directories
There are entire software applications that do nothing but submit your articles to article directories. What’s cool about this project type is that it’s essentially a $100+ program al rolled into 1 project type. There are roughly 50 article directories within SEO Elite and this project type steps you through submitting to the directories in a very straightforward, easy way.
To conclude our review of SEO Elite, I would say that it is a solid program that was easy to use. There was a manual that came with this software, as well as many tutorial videos… but to be honest, the software was so straightforward, we found ourselves not really needing to read any help guides etc. SEO Elite gets two thumbs up.

Local search is all the rage. At the 2007 Search Engine Strategies event in New York City there were presentations and exhibitors touting the importance of local search strategies and tactics.
It’s like the presenters and exhibitors just discovered that people are really mostly interested in finding products and services nearby.
I guess what’s really going on is that finally technology, or its application, has caught up with what people really want Internet search to do for them.
I use Internet search for everything – especially local! We haven’t had a copy of the Yellow Pages (or white pages) in our apartment since we got high-speed access.
We Google directions to the Gap across town. If a movie is playing in Brooklyn we Google directions to the theater and buy the tickets online – so we can get in after we make the trek.
As a user we know all we need to know about local search. We type in what we want and where we want to get it and bingo – here it is and a map’s included. It just doesn’t get any better than that.
So, what’s the big deal for business owners when it comes to local search in 2007?
It’s leveling the field – putting the Main Street Companies we love doing business with right up there with their big box rivals.
How’s that possible you ask? Well, here are three simple ways to maximize your over all search results using a local search focus.
Differentiation:
What makes your company different? What are the local aspects of your business? That’s how you differentiate yourself from your competitors. Local search ads and placement provide the opportunity.
Would you rather eat spaghetti at a local franchise of a national chain or a locally owned Italian restaurant that’s supported the community since 1963 – who supplies pizza for the area football team parents night and whose grand daughter won the state’s citizenship award competition?
We do business with our friends. Local search provides us with the information we need to do so.
Reach Buyers When They’re Ready To Buy:
Let’s say I was looking for a health club membership to begin addressing my 2004 New Year’s resolution. OK, so I’ve put it off a bit – but now I may be ready, so what’s my number one criterion?
Location. It has to be as close to me as possible – so I’ll be more likely to show up.
I may have been introduced to a certain company via their TV commercials. In our many walks around the various communities in New York I may have passed dozens of their health clubs. I may even know people who have a membership at one of them and swear by it.
But if I’m going to join one – it has to be in my neighborhood.
So I go online, do a local search, and find that they have a brand new heath club only a few blocks away. They even have printable coupons for various membership types. I’m doomed – my last really good excuse is gone.
Leverage All Your Touch Points
If your online goal is to simply drive people physically into your place of business you can provide them with directions to your place, a map, when you’re open, etc. with your local search strategy.
Perhaps more importantly you can offer your customers additional options for doing business with you – which they did not know about.
Let’s say you sell cement to contractors and homeowners. Your customers get it delivered to the job site or in their driveway – most of the time. No one ever comes by, even though you have people working there twelve hours a day seven days a week.
Local search can be used to tell people that you’re open in case they need to pick up a few extra bags of Quickrete over the weekend. Or they can place an order online or on your 24 hour a day voicemail for next day delivery.
Effective local search tactics reaches local searchers when they are ready to buy – with every way that it is possible for them to buy from you.
At the Search Engine Strategies event the experts told us to adopt a search marketing strategy that has global reach (hey, you never know), regional implications, and connects with our local buying audience.
How is that possible? Let’s take a top down look.
National Campaign:
For most companies this is best left to their manufacturers. Let General Motors create the buzz, show the new models, pitch the extraordinary value, and the environmental friendliness of their vehicles.
Let them do national TV and spend a bazillion dollars on search engine optimization, just push them to link to your company while they’re at it. Hey, it’s their brand; so let them do the branding.
You spend your money and energy with actions that result in sales for you.
Expanded regional Area Keyword Search:
There is an Auto Mall on I71 North of Cincinnati. I bet the dealers there sell most of their vehicles to folks who live north of downtown all the way up maybe 25 to 40 miles north of where the Mall is located.
People living a little farther north of that line may turn right when they get on I71 and head toward Columbus. People south of downtown Cincinnati cross the bridge into Northern Kentucky. On the east side of Cincinnati there is at least one huge Auto Mall siphoning off potential business as well.
Out of area local search can target these buyers telling them to come by your dealership for a comparison before they buy. If they do you guarantee to make it worth their time.
Tell them how long it will take on I275 from different parts of the metro area. And if they buy a new vehicle you’ll give them an extra $500 off if they live more than so many miles away. You get the idea.
What’s it worth to your business to increase your traditional marketing area by another 25 miles in every direction?
Local Relevance Promotions:
Don’t forget the importance of dominating the market you’re already in. A local search marketing strategy will help you solidify your base with a reminder that you’re still there.
As a local business owner you are sought out by every community endeavor for your support. Local search provides an opportunity improve on your local relevance – why people should support your business. Local search gives you a chance to remind people of your commitment to them.
As with the Italian restaurant – I’ll pay more money for new tires if given the chance to buy them from the nice people who sent the local high school band to New Orleans to play in the Sugar Bowl parade – even if it was a decade ago.
Compare that to saving a few bucks from a giant store where I am just a number and actually had to be there before 10am to qualify for the special price anyway.
Here are three things to keep in mind when considering your local search marketing strategy.
What do you really want?
How far can you haul gravel and still make money? How far can your service technicians travel and still at least break even? Do you simply want to dominate your traditional selling area or do you see local search as a way to gradually and systematically expand you company into a wider and wider area? Knowing this will help you when it comes to budgeting the resources required.
Who’s willing to help you?
Will you highly respected manufacturer link to you in a way that helps raise your status with the search engines? Or will other companies join you in an effort to build your presence online collectively? Consider the Auto Mall – there must be a dozen of more dealerships all in one place. Working together with ad buys and pooling resources to hire SEO experts will benefit them all.
What’s your budget?
Where’s the money going to come from – your major distributors, your manufacturer, our your wallet? What’s your stomach for online advertising? Do you have the people and the interest to do pay for performance ads? Or do you feel more comfortable with the idea of doing whatever SEO you can do easily, buy ads on a fixed rate basis like in the Yellow pages – and move on?
What it all boils down to is what’s important to you.
For some maybe reading this article is enough. When they do whatever marketing and/or advertising they do in the future they’ll factor some of these thoughts into their decisions.
Others will want to know more, this will have opened their eyes to some real possibilities they are missing – stuff they want to be doing before their competitors start doing them.
